The role
Due to continued growth we have a unique opportunity for an admin officer to join our friendly team in West Lothian.
West Lothian Housing Support is a support service for young people aged 16-25, providing support around housing options and all tenancy sustainment to maximise their independence and build on independent living skills. West Lothian Family Support service works mainly in schools with vulnerable children and young people, aged 5 to 18 years, around attendance and attainment.
These outreach services both share a base in the same office in Livingston and this exciting and rewarding role will support both teams to allow them to provide the necessary services to our young people, children and families in the community and in the schools.
You will make a difference by:
-Providing a range of administrative and reception duties to frontline staff and visitors
-Organising and progressing the full range of activities associated with the management of business meetings
-Providing written, verbal and e-correspondence, in collaboration with management and operational colleagues, ensuring prompt, courteous and appropriate responses.
-Undertaking desktop research on behalf of colleagues and management to inform responses to correspondence received or to enable the completion of specific reports.
-Producing presentations, written and financial reports for management, including formatting of information and data, which is consistent with organisational and regulatory standards
-Maintaining and supporting the development of management information systems to enable the extraction, tracking and presentation of accurate data.
-Being responsible for the quality, accuracy and timeliness of data inputted and contribute to and implement approaches to improve the quality of data.
You will need:
-A relevant qualification in business administration or the equivalent experience
-Excellent communication skills and an ability to communicate in a clear and professional manner.
-Flexible and adaptable approach with the ability to deal with changing priorities and complete tasks within required timescales.
-Sound IT skills especially in Excel and other Office packages.
-A willingness to undertake organisational training to be able to perform duties on a range of E-Systems and computer software
-Experience of providing a confidential, professional service and to work flexibly to meet the demands of the role.
-Previous experience and competence of financial systems would be an advantage
-The ability to work on your own, using your initiative, but also to work well as part of a bigger team
