The role

This superb opportunity will support a range of services within Lothian & Borders Cluster including services in Haddington, Galashiels, Edinburgh & West Lothian. The role will involve delivering an effective, efficient, administrative service that is flexible to meet the needs of 5 operational teams to enable the service to achieve agreed service objectives. The successful post holder will be based in our Haddington location, within New Horizons, which provides supported accommodation to young homeless people. The sucessful applicant will be required to travel to Galashiels and Livingston on occasions.

  • By providing a range of administrative and front of house services utilising organisational policies, procedures and digital systems.
  • By organising and progressing the full range of activities associated with the management of business meetings
  • By providing written, verbal and e-correspondence, in collaboration with management and operational colleagues, ensuring prompt, courteous and appropriate responses.
  • By undertaking desktop research on behalf of colleagues and management to inform responses to correspondence received or to enable the completion of specific reports.
  • By producing presentations, written and financial reports for management, including formatting of information and data, which is consistent with organisational and regulatory standards
  • By maintaining and supporting the development of management information systems to enable the extraction, tracking and presentation of accurate data.
  • By being responsible for the quality, accuracy and timeliness of data inputted and contribute to and implement approaches to improve the quality of data.

The person

You'll need:

  • Strong team player
  • Excellent communication skills, and an ability to communicate in a clear and professional manner.
  • Flexible and adaptable approach with the ability to deal with changing priorities and complete tasks within required timescales.
  • Sound IT skills with demonstrated competence in Word and Excel packages.
  • A willingness to undertake organisational training to be able to perform duties on a range of E-Systems and computer software
  • Experience of providing a confidential, professional service and to work flexibly to meet the demands of the role.
  • Previous experience and competence of financial systems including but not limited to raising invoices, purchase orders and petty cash.
  • Previous experience of an office based environment or SVQ2 in a relevant qualification
  • Good verbal and written skills
  • Ability to prioritise and delegate tasks to ensure work is completed within set timescales
