Business Administration Assistant Graduate

The Cambridge, UK site is the Sandoz Device Development Centre (SDDC) where a small but growing team is responsible for developing complex, innovative, medical devices. We are now seeking a Business Administration Assistant Graduate to join our team to support SDDC operations in Cambridge.
Job Description:
The intern role will be responsible for day-to-day operations support, and helping to maintain and
improve our business processes. As well as excellent verbal and written communication skills and strong attention to detail, this person will integrate well within the team and collaborate with colleagues at SDDC and other Sandoz site. He/she will be able to undertake a variety of procurement and administration support tasks, and will have strong prioritisation and organisational skills, along with a positive, outgoing and friendly demeanour. This self-motivated individual must be able to handle confidential material with discretion and have excellent time-management skills.
Your responsibilities:
Your responsibilities include, but are not limited to:
- Raising Purchase Orders (POs) including orders for office supplies, lab supplies, project materials etc;
- Initiating the Third Party Risk Management process for all of our suppliers in SIM
- Tracking project expenditures and maintaining an overview of all POs raised;
- Supporting P&O with information requests for new recruits, including P45/P46, bank details, privacy statements, emergency contact information, passport details etc;
- Assisting with on boarding and off boarding of associates;
- Office management duties, including answering telephone calls, collecting, sorting, and distributing incoming mail, receiving and signing for delivered packages and distributing to the appropriate recipient, arranging for UK/international mail and packages to be sent via post/courier, maintain stationery cupboard and kitchen supplies, managing correspondences (e-mail, letters), filing of documents, shredding etc;
- Documentation management including scanning and uploading documents to SDDC's documentation management system, arranging DocuSign requests etc; and
- Maintaining access tags and permissions for the building including setting up tags for new starters.
What you'll bring to the role:
- Demonstrable experience as an office administrator, office assistant/manager, or relevant procurement role;
- Outstanding communication and interpersonal abilities coupled with excellent organisational and prioritisation skills;
- Familiarity with office management procedures and purchasing systems; and
- Working knowledge of Microsoft Windows operating systems and Microsoft Office software: Excel, PowerPoint, Word.
Desirable requirements:
- Previous experience of using purchasing SAP systems for large MNCs would be ideal, but is not essential as training will be provided.
