Responsible for providing all administration support on site. This includes the management of site systems, such as Kronos, as well as providing system support to line managers using expenses, purchasing and Learning & Development systems (i.e., LMS / Workday Learning). The Business Support Administrator will provide regular administration support to the Learning and Development Specialist, the Operational Teams, the HR team, and the Senior Management Team on site.

  • Provide a comprehensive and professional administration service to the site, in particular the Senior Leadership Team. Provide administration support to line managers by guiding them to use the systems available to self-serve e.g., travel & expenses
  • Provide regular administrative support to the Learning & Development Specialist. Tasks will include booking of training, creating purchase orders, monitoring attendance on courses, updating records and reporting. Support the apprentice recruitment and apprentice onboarding programmes
  • Provide the main administrative support for site systems and processes, including time & attendance, travel, expenses, Enablon, QMS, LMS, audits. Support new managers or employees so they can self-serve. Be the site Super User
  • Schedule the long service awards for site employees at the start of each year so that line managers are aware of the anniversaries and have the letters and emails required to present awards on time. Liaise with JM Group reward & benefits and manage queries from employees regarding their awards
  • Support site communications, assisting with the creation or distribution of newsletters and briefings. Update notice boards and electronic boards and support any working group activities
  • Support line managers with requests for recognition, keeping records and providing the data to finance as required
  • Support line managers with local community & STEM activities, providing a first point of contact for the site & developing business relationships with the community & local schools
  • Manage the booking and arrangements for the annual RESO event and support the organisation of site events when required
  • Manage bookings for lunches, stationery orders, mail & the franking machine, new starter clothing requests, and liaise with IT regarding the maintenance of office equipment such as photocopiers & scanners. Maintain associated budgets
  • Create & maintain working instructions for all work processes
  • Support line managers when organising work experience, providing a central point of contact and coordination
  • Greet visitors and be the first point of contact for calls or queries from other sites when required
  • Operate within, and adhere to, HR best practice and procedure, ensuring all tasks are carried out safely and in line with JM policy
  • Attend training and key communication sessions to ensure a good core knowledge of process, risks and policy is maintained. Completing all training where necessary for the role
  • To carry out any other duties which are within the employee's skills and abilities whenever reasonably instructed.

Skills required-

Proficient level of both written and verbal English is required to ensure a high quality of communication with both internal and external stakeholders

Good IT and communication skills

Knowledge of a variety of different PC Packages including Microsoft, Outlook and Teams.

SharePoint, Enablon, LMS, SAP knowledge and expertise
