Job Purpose
My client has an opportunity for a Document Controller to join the Battery Materials Document Control Department.
The applicant is expected to be highly organised and work well in fast-paced environments and be familiar with electronic filing. Their communication skills should be excellent and must be able to multitask. Reliability and attention to detail are essential.
Summary
This post involves coordinating with the different departments within an organisation and ensuring that the right documents are accessible to all internal/external services.
Working to deadlines and ensuring that all departments of the organisation are following the same procedures with regards to documents.
Ensuring that documents are in the right location, this involves checking and approving documents before they are filed and liaising with internal and external 3rd parties to ensure that documents contain correct and understandable information.
Principle Accountabilities
- Principal accountabilities
- Provide document and information management support to the Document Control Department and Project Team, including:
- Process 3rd Parties documentation (download/upload to/from DMS's)
- Generate document numbers
- Prepare and submit all projects transmittal notes and relevant documents
- Controls issuance of document numbers, including maintenance of appropriate document register
- Prepare and maintain project filing systems
- Ensuring that all aspects of document control and controlling documents are in place and adhered too.
- Communicate and liaise with Project Teams, Suppliers/3rd parties to agree standards, systems, efficient flow of documentation, handover and close-out of Project activity to ensure consistency in document control as required.
- Assist in the development and delivery of specific Document Control training.
- Ensure control and coordination of projects documentation and data
- Performed quality check for data entered into the system
- Manage all flows of documents either in electronic form or on paper support
- Log, track and report status on technical queries/RFI etc.
- Ensuring the use of standardized forms and templates
- Ensured adherence to established operating procedures during documents submission.
- Implemented submission of all documents within time and quality parameters
- Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date
- Maintain confidentiality around sensitive documentation
- Prepare ad-hoc reports on projects when required
- Archiving of Project documentation recording and numbering appropriately to ensure everything is traceable
Scope
- Reporting to the Document Control Manager and responsible for all document control aspects for Multi-Projects within the Battery Materials Document Control Department.
- They will maintain an excellent relationship with their Document Control Department colleagues, Projects Team, Contractors and Vendors.
Person Specification
- Previous experience working in document control
- Word, PowerPoint, Excel, Outlook and Adobe Pro
- Knowledge of ASITE, BIW, 4projects or any other document control system.
- Knowledge MS SharePoint
- Awareness of the importance of document, data, and/or information management in a large-scale capital project
- Basic Analytical experience
- Previous experience working in a fast paced, dynamic environment

Special Factors
- Hours are 37.5 per week, 8:30am-4:30pm Monday to Thursday and 8:00am to 4:00pm on Friday, with a half hour lunch break
- Fully Working From Home
Hourly rate £15.00 PAYE.
