Duty Assistant

Contract: 3 months

Working Hours: 28 hours in a week | Monday to Thursday working

Location: Macclesfield Cemetery, SK10 3BU

Key Responsibilities

  • Operate a triage system for housing enquiries and prioritise service requests
  • Provide advice, guidance, and information to tenants, landlords, homeowners, and contractors
  • Maintain and update case management systems and records in line with data protection
  • Handle purchasing administration, including:
    • Raising orders
    • Checking invoices for accuracy
    • Maintaining expenditure records
  • Maintain staff absence records
  • Manage stationery and printing requirements, including stock monitoring and supplier liaison
  • Act as the first point of contact for customer feedback, handling queries and complaints
  • Compile feedback and produce monitoring and performance reports
  • Liaise with internal teams, professionals, and external agencies to resolve enquiries
  • Produce letters, reports, and spreadsheets using Microsoft Office tools.

Essential Skills & Requirements

Qualifications

  • NVQ Level 2 in Administration (or equivalent)

Experience

  • Experience/knowledge of:
    • Housing Health & Safety Rating System (HHSRS)
    • Finance, accounting, or purchase ledger processes
  • At least 1 year experience in:
    • Maintaining financial records
    • Delivering personalised services (housing / health / social care) Technical Knowledge
  • Understanding of:
    • Housing legislation and policies
    • Financial regulations and grants legislation
    • Housing advice and triage processes

Core Skills

  • Strong Microsoft Office skills (Word, Excel, etc.)
  • Ability to:
    • Produce reports, letters, and spreadsheets
    • Manage records and databases
    • Check and process invoices accurately

Communication Skills

  • Clear verbal and written communication
  • Ability to:
  • Provide advice in plain English
  • Handle customer queries professionally

Organisational & Analytical Skills
