Guidant Global is recruiting on behalf of a highly recognised university for a HR Services Administrator for a 3-Month contract duration with an immediate start.

In this role, you can expect to:

Main purpose of the job

* Ensuring accurate, compliant and timely processing of HR transactions and data (e.g. new joiners, contractual changes, leavers) within service standards and deadlines.

* Ensuring all contractual documents are compliant with procedures and statutory legislation.

* Provide HR advice and guidance in respect of HR policies and procedures across the employment lifecycle. Where needed the HR Services Administrator will refer upwards to the HR Services Advisor in the first instance

* Build excellent operational working relationships with stakeholders and colleagues, in order to ensure everyone receives excellent service delivery within the HR Services published service standards

Duties and responsibilities

* Process work through all HR systems to ensure queries are answered or referred where applicable within the set service standard.

* Where interpretation is required, liaise with HR Services Advisor and/or other HR Teams to ensure a consistent approach to advice.

* Complete HR transactions across the employee lifecycle, in line with service level agreements and in line with university's policy.

* Monitor the quality and accuracy of all employment documentation produced by the team, and updates made to the HR systems. Ensuring all information is correct and that Payroll can process without intervention.

* Develop effective, positive relationships with customers, departmental contacts and Professional Services colleagues, to create a dependable working relationship and positively assist in meeting their business needs.

* Provide and contribute ideas, suggestions and solutions to the better and more efficient delivery of the HR Service

We're looking for candidates who have:

Qualifications, experience and knowledge

  • GCSE (A-C) English and Maths or equivalent or have equivalent skills acquired in the workplace.
  • Proven experience and working knowledge of UK Right to Work legislation, recruitment or employment administrative procedures, and customer service focused practises, within a large complex organisation.
  • Experience of using a CRM system, such as RemedyForce, to manage customer correspondence, processes and service delivery via reporting.
  • Experience of using a HR and payroll database (Oracle would be preferable).


Skills and abilities

  • The ability to undertake basic numerical calculations in regards to leave and gross salary queries, relevant to full or part time employment.
  • Commitment to maintain and keep up to date with changes in legislation and procedures relating to the role.
  • A clear commitment to high standards of customer care and to equality of opportunity and an understanding of the ways in which those principles can be implemented in the post holder's work.
  • Proven experience of a consistently high level of accuracy and attention to detail.
  • A team player, able to meet service standards at a personal, team and section level
  • Proven experience of managing own workload through effective prioritising, time management, organisational skills, and able to both motivate oneself and colleagues
  • The ability to communicate effectively, have empathy with, and relate to a customer, can answer telephone/visitor enquiries and draft letters, memos and minutes in a clear, concise and logical format, whist maintaining an acceptable level of accuracy and attention to detail.

  • Computer literacy and familiarity with the Microsoft suite of software to intermediate level in Word, Excel and Outlook. Ability to use the internet.
