Guidant Global is recruiting on behalf of a highly recognised university for a Placements Administrator for a 6-Month contract duration with an immediate start.

In this role, you can expect to:

Placements

* Contribute to the daily operation of the placements office, including general student enquiries, room bookings, provision of Trust student ID, access cards, IT access and lockers.

* Contribute to the organisation and delivery of placement-related activities during Introduction and Orientation Modules

* Manage local placement teaching activities in one or more modules or specialities, depending on the complexity, determined by the Placements Coordinator

* Create placement timetables in collaboration with clinicians including:

- Inductions

- Formal teaching sessions

- Small group teaching sessions

- Tutorials

- Teaching Clinics

- Ward based teaching

- Clinical skills o Simulation

* Allocate clinicians and students to timetabled events in the Medical School's Academic Student Record System (ASR)

* Publish timetables in ASR at minimum 2 weeks before each new rotation

* Coordinate any local placement-related teaching materials and link to events in ASR at minimum one week prior to each event

* Arrange cover for clinician absences and reschedule cancelled sessions as required

* Facilitate Teams and lecture cast recordings

* Manage placement-related content in module Moodle sites

* Attend relevant Module Management Groups

* Assist at core teaching events and skills training circuits as required

* Advise clinicians and students about MBBS policies, procedures, course organisation, course requirements, regulatory requirements relevant to the year of study, based on a full understanding of the programme of study for the year and an awareness of the full MBBS programme of study

* Support the quality assurance of clinical placements teaching and review of student feedback responses

Pastoral Care

* Allocate students to mentors/module tutors

* Assist the Placements Coordinator in supporting local Site Senior Tutors and Personal Tutors in weekly student clinics

* Monitor attendance and engagement and report absence via ASR

* Advise clinicians and students about MBBS Student Support policies and signpost students to Medical School and Support Services.

* Work collaboratively with the MBBS Student Support Team to ensure appropriate exchange of information to support student academic progress.

Assessments

* Facilitate workplace-based assessments including arranging and ensuring completion of end-of-module sign offs

* Assist the Placements Coordinator in the recruitment of examiners for local Clinical and Professional Skills Assessments circuits

* Assist the Placements Coordinator in liaising with the MBBS Assessment and Feedback Unit re provision of examiners and records of training, and returning records of stations and examiners after each CPSA (Clinical and Professional Skills Assessment)

* Participate in on-the-day help at exam and sequestering venues

Patient Pathways

* Support clinical leads in the local management of Patient Pathways including matching to students to patients

Visiting Electives

* Assist the Placements Manager or Coordinator with the management of visiting elective supervisors and students

General duties

▪ On-the-day assistance at MBBS events

▪ Liaise with the wider MBBS team to facilitate tasks and effective student support

▪ Assist with servicing relevant committees and working groups

▪ Make arrangements for workshops, meetings and other events relating to Placement Management as required.

▪ Keep informed about programme and committee developments, attending and participating in meetings as required

▪ Engage in continuing professional development

The role holder will carry out any other duties that are within the scope, spirit and purpose of the job as requested by their line manager or senior education administration and student experience staff.

We're looking for candidates who have:

Qualifications, experience and knowledge


-Minimum of 5 GCSEs at Grade C or above (including Mathematics and English Language) or equivalent, or having acquired relevant experience.

-Educated to A-level standard, or equivalent professional experience such as report writing.

-High level knowledge of, and ability to work with, electronic media, including the ability to manage and manipulate complex data in excel spreadsheets, databases and VLE (Virtual Learning Environment).

-Higher education to undergraduate degree level or NVQ Level II/III or equivalent.

-Experience in a professional services role, preferably in a Medical School or other academic environment.

Skills and abilities


-Be computer literate, including using Microsoft Word, Excel, Outlook, Teams and the internet.

-Demonstrate clear verbal and written communication skills (including accurate grammar, spelling and punctuation).

-Have good interpersonal skills and the ability to liaise with a variety of people, including the ability to relate to staff and students in a teaching and learning context.

-Be able to prioritise and organise own workload, meet time-critical schedules.

-Be able to work under pressure and deal with high volumes of processing.

-Be able to collate and record information accurately using a variety of media.

-Be able to work independently and as part of a team.

-Be proactive and able to work confidentially.

-Demonstrate commitment to high quality service provision.

-Be willing and able to learn and use new systems quickly.

-Be able to use student records systems (e.g. Portico, SITS) and virtual learning environments.
