Guidant Global is recruiting on behalf of a highly recognised university for a Programme Administrator for a 14-week contract duration with an immediate start.

This is a pivotal post within the Student and Academic Support Office supporting the Division's professional programmes, and assisting our students and academic staff. It provides an excellent opportunity for the right applicant to develop their career within a university setting.

In this role, you can expect to:

Admissions

  • Provide a high-quality professional service to prospective students, programme directors, and the Admissions Office by ensuring an informative, up-to-date and responsive applicant and enquiry service.
  • Develop detailed knowledge of the admissions process and requirements and act as the first point of contact for admission enquiries, guiding potential applicants and programme directors as required.
  • Liaise with programme directors, admissions and student records ensuring additional information is collected, and that in-person enrolment and application period dates are set appropriately.
  • Oversee the administrative operation of the admissions ensuring that records are maintained and decisions are made within agreed timescales, requesting additional information from applicants as required.
  • Monitor applicant numbers and student number statistics, preparing reports and updates for the programme directors and Divisional committees as required.
  • Resolve issues, problems and queries from students and staff and exercise judgment in referring more complex matters to senior staff.
  • Work in liaison with the Faculty team to contribute towards the maintenance of the admissions and recruitment web pages offer packs and other recruitment material.
  • Assist with the administration and organisation induction and enrolment, providing advice and guidance to students and staff as required.
  • Oversee the administration of student module registration.

Teaching and Learning

  • Provide information and advice to students, staff and external stakeholders on the structure and content of the Division's taught programmes and relevant policies, procedures and regulations relating to academic programmes making sure materials are accurate and up to date.
  • Organise and collate the collection of student feedback and prepare reports.
  • Oversee the peer assessment tool (mini-PAT) including results collation and individual student report production
  • To coordinate timetabling, allocate seminar groups and monitor attendance.

Committees

  • Provide administrative support to committees including organising meetings, preparing agendas and papers, taking minutes and following up action points.
  • Participate in internal and external meetings and working groups as required.

Examinations and Assessment

  • Provide support for the organisation and delivery of quarterly programme assessments (OSCEs, oral presentations, coursework, portfolios and MCQs).
  • Ensure the timely entry of coursework and examination marks onto the Portico system and to ensure that all marks are cross-checked for accuracy in preparation for Board of Examiner meetings.
  • Liaise with the Assessment and Programmes Manager and programme directors with regards to all assessment matters including assessment periods.
  • Advise students and staff on the academic regulations and the procedures for submitting extenuating circumstances and academic appeals, reporting forms to the committee and informing students of outcomes.

We're looking for candidates who have:

Qualifications, experience and knowledge

Educated to a minimum of A Level standard or equivalent (GCSE English and Maths at grade C or above).

Excellent IT skills, including experience of using word processing, spreadsheets, email, databases and web browsers.

Experience of working in an administrative role within Higher Education or similar educational institutions, focusing on programme or admissions support.

Experience of using a Virtual Learning Environment (VLE) such as Moodle.

Experience of supporting committees including minute-taking.

Experience of organising events
