Guidant Global is recruiting on behalf of a highly recognised university for a Data Management Analyst for a 12-Month contract with an immediate start.

The role has an operational focus on 'hard services' areas of CAFM / IWMS, ensuring that internal customer needs are identified, understood, and put into practice to provide a comprehensive single source of operation and information and ensure best practice use of available technology.

Main purpose of the job

  • Be an intrinsic part of a 'Centre of Excellence' by being the Subject Matter Expert for Management Information within and across CE&I systems identifying trends, areas of concern, SLA performance and make recommendations, provide reports, etc.

  • Have operational focus on the 'hard services' areas of the CAFM / IWMS, through accurate creation and review of data, ensuring best practices in data are being followed.

  • Work with others to plan system needs, advising on data requirements, and conduct data uploads/entries.

  • Troubleshoot system operation issues, liaising with system suppliers where required.

  • Play an active role in the continuous evolution of hard services elements of the CAFM / IWMS, including its data, operations, and reporting.

  • Support the analysis of requests for new systems and requirements within CE&I.

  • Line management of the Data Management Officer.

Duties and responsibilities

  • Recommend and create MI reports to meet requirements for all service areas and for all audiences, becoming the Subject Matter Expert on data and insight activities.

  • Work collaboratively with internal and external service managers and contractors to ensure PPM works are set up consistent with requirements/contract agreements.

  • Support the collation of asset data from systems, surveys, or projects, ensuring it meets required standards.

  • Follow data standards to ensure system updates/changes are carried out that preserve data and asset information integrity.

  • Identify and label asset ownership within the CAFM / IWMS as between CE&I, Departments and Landlords, etc.

  • Support the control of data management, assurance and standards through procedures.

  • Act as first-line support for technical queries with the CAFM / IWMS supplier.

  • Administer the issue, collation and uploading of new asset labels and records for 'hard services'.

  • Conduct regular data audits as per the audit schedule to ensure the quality of data held on systems is accurate, highlighting any gaps to the IWMS Manager.

  • Create process maps and user guides and deliver training as required to allow 'hard services' colleagues to understand business processes.

Person Specification

Qualifications, experience and knowledge:

  • Educated to degree level or equivalent experience.

  • Is experienced in CAFM / IWMS operation (minimum 3 years).

  • Strong understanding of facilitates management and its operations and stakeholders.

  • Practical experience of asset management and maintenance operation.

  • Understanding of industry standards such as SFG20, ISO9001, BIM and specific technical standards.

  • Understanding of the principles and frameworks of successful project /programme management including robust assurance from a support perspective.

  • 2 years experience as a line manager.

Skills and abilities:

  • Capability for problem-solving, decision-making and sound judgement.

  • Accurate and methodical with strong attention to detail.

  • Strong data management skills with demonstrated ability to use data management tools, e.g. Excel.

  • Excellent PC skills, including advanced knowledge of Microsoft Excel, PowerPoint, Word and other MS Suites.

  • Ability to communicate effectively in writing and verbally to a wide range of people at all levels including complex/technical issues to non-specialists.

  • Analytical thinker with demonstrated problem-solving skills.

  • Ability to use business intelligence tools to organise and manipulate data.
