The role
Our Gilmerton Road support service is an intensive support service for young people with challenging behaviour, intellectual disabilities and additional support needs.
The services are structured around the following services: Short Breaks, Outreach Support both community and building based, after-school provision, complimentary education provision and an assessment-based support service for young people in the local areas.
We are looking for a business support officer to be based in our service and work 9.30am - 2.30pm Monday to Thursday. You will be responsible for the admin support for our children's services including but not contained to; case notes, incident recording forms, collecting data and streamlining information. You will be working when the Children and Young people are at school although this will change during the school holidays and the Children and Young people will be present at times when you are required to work. You will require a PVG check for this reason.
You will make a difference by:
- Providing a range of administrative and front of house services utilising organisational policies, procedures and digital systems.
- Organising and progressing the full range of activities associated with the management of business meetings, ensuring efficient and effective planning for a single or series of meetings, addressing timelines, notifying participants, venue\location (including use of digital technology), refreshments, agenda preparation, minuting and progress chasing agenda items and follow up actions.
- Providing written, verbal and e-correspondence, in collaboration with management and operational colleagues, ensuring prompt, courteous and appropriate responses.
- Undertake desk top research on behalf of colleagues and management to inform responses to correspondence received or to enable the completion of specific reports.
- Experience of providing a confidential, professional service and to work flexibly to meet the demands of the role.
You will need:
- Business Administration S/NVQ Level 2 or equivalent qualification or work experience.
- Experience of using PC's on a business network running MS Windows and Office, along with Email and Internet and specific business applications.
- To work within a team environment, demonstrating tact and diplomacy with other members of staff and where necessary to direct and guide.
- Effective communication written and oral to a range of different personnel.
- To take responsibility for a project or task and deliver within agreed timescales.
