Job purpose

The position is responsible administration relating to imports, exports and domestic UK despatches. In relation to outbound deliveries the position is responsible for the creation of outbound logistics shipment documentation, shipment notifications to Freight Forwarders/Carriers and Customers, maintenance of shipment records, checking of export documents and reconciliation to customs declarations. For imports, the role is responsible for checking supplier documents and ensuring the details are in accordance with Hydrogen Technologies requirements and checking and reconciliation to HMRC customs entry data. The person will process despatches within Hydrogen Technologies SAP and maintain records within Trade Compliance data bases.

The position is responsible for performing specified checks to ensure any regulatory logistics and customs requirements, including required licences and authorisations are in place.

The person will act as a point of contact internally regarding outbound deliveries, import clearance queries and data validation. Responsibilities include effective management and administration of trade related master data, use of SAP to transact despatches, record HMRC MRN data, perform daily, weekly and monthly checks on imports and exports. Responsibilities also include ensuring transport and customs records are maintained to the required standards, and for coordinating with Brokers/Logistics Service Providers to ensure errors relating to import and/or export customs clearances are progressed and completed within required timelines, including provision and retention of associated evidence of corrections.

Principal accountabilities

  • Processing outbound dispatches, including pre-shipment checks, creation of Commercial Invoices and maintenance of shipping records both for UK domestic despatches and exports.
  • Where JM is liable for the insurance of material, ensure that appropriate security measures have been taken in accordance with JM policy.
  • Ensure advance planning of shipments to customers is co-ordinated with Customer support teams, Quality and Warehouse and Production departments to achieve deliveries within agreed timescales with correct quality at all times.
  • Ensure compliance standards for all duty and customs controls, including documentation, correct use of tariff codes, and all required licenses as applicable.
  • Commercial Invoice template maintenance.
  • Monitoring and management of HT Export and Domestic Transport Log, ensuring accuracy and completeness of data, coordinating with Warehouse teams to ensure timely completion.
  • Monitor export status, ensure evidence of export declaration is provided and internal records maintained
  • Perform checks on customs export declarations to ensure CPC, HS, EORI and other key data has been correctly entered by Broker/Freight Forwarder, including monthly reconciliation to HMRC CDS MRN data
  • Perform checks on customs import declarations, to ensure Net Mass, value, CPC, HS code, EORI, IP Authorisation/Tariff suspension have been correctly recorded and maintain internal evidence of validation including monthly reconciliation to HMRC CDS MRM data.
  • Record errors found in relation to import and export checks and initiate and monitor amendment requests, ensuring appropriate provision of evidence of change is provided and retained for internal reference.
  • Perform monthly CDS data upload to SAP, and linking to associated goods receipts or deliveries
  • Perform monthly checks regarding accuracy of SAP transactions for Goods Receipts
  • Support monthly Inward Processing (IP) Reporting and collation of associated supporting data and disclosures, including submission to HMRC as applicable regarding customs entries and/or IP Bill of Discharge submissions
  • Support HMRC query resolution regarding IP Arrange transportation of production and non-production materials, ensuring logistics execution in an accurate and timely manner
  • Coordination, monitoring and control of shipping process up to physical delivery.
  • Monitor IP forward position and prepare internal reports and track future position, initiating actions to minimise and mitigate duty impact.
  • Ensure Incoterms usage is in line with JM policy
  • Support external Customs Audits, and internal Audits.
  • All records are created and completed accurately and as near to real time as possible.
  • Clear communication and escalation at early stages of any issues.
  • Through a good understanding of the processes directly involved in logistics and trade compliance and the key integrated process areas, identify and propose improvement opportunities and actions for transport and trade compliance related issues.
