Guidant Global is recruiting on behalf of a highly recognised university for a Senior Teaching and Learning Administrator for a 3-month contract with an immediate start.

This position will provide specialist administration to the Institute's education programmes, which include the Innovation and Public Policy PhD Programme, Master of Public Administration (MPA) Innovation, Public Policy and Public Value and the Rethinking Capitalism undergraduate module.


The post holder will ensure effective procedures are documented and adopted for all matters relating to students' teaching and learning activities, from enquiry to completion. This includes supporting committees and processes relating to admission, assessment, student and course records.


This role requires high-quality and timely service to current and prospective students, staff and external colleagues and collaborators.

In this role, you can expect to:

Programme Administration:

  • Deal with enquiries by telephone, email, letter, and in-person relating to entry requirements and enrolment etc.
  • Co-ordinate start of session arrangements; registration of new students, collate welcome packs, student and programme handbook, safety booklets, timetables and other necessary documentation.
  • Work with the Institute Manager, academic programme director and other academic leads, to set up induction week.
  • In liaison with the Institute Manager, academic programme director and other academic leads to create and manage the departmental timetable for all designated taught courses, including managing room bookings and liaison with staff in implementing the common college timetable.
  • Allocate students to modules, programmes, tutorials, projects, placements and tutors as appropriate following timetable structure and upload information on Portico as required.
  • Process and co-ordinate teaching materials, such as module and programme outlines, study packs, and assignments in paper and electronic format, necessitating liaison with teaching staff and students.
  • Update and brief academic and teaching staff on student application procedures for module programme procedures and regulations.
  • Liaise with relevant offices, particularly the Faculty Office, Graduate School, Admissions Office, International Office and Student Records Office.
  • Responsible for uploading and maintaining module and programme content on Moodle.
  • Work with the Institute Manager, academic programme director and other academic leads to ensure that the entries in the prospectus, advertising materials, programme handbook and web pages relating to designated module and programme matters are accurate and up to date.
  • In liaison with the Institute Manager, create scholarship documentation and process them in Portico as required for approval.
  • Create and distribute attendance lists to academic and teaching staff as appropriate.
  • Organise logistics for student field trips throughout the year.

Admissions:

  • Lead the coordination of open-day events and interviews with the communications team, as required.
  • Lead with the Faculty Office, admissions of all designated programmes and modules the Institute offers, including the processing and evaluation of application forms, correspondence with students and database use.
  • Take overall responsibility for all applications checking for entry requirements, including English language qualifications, examination results and final decisions, initial fee status and widening participation checks, as applicable.
  • In liaison with central admissions ensure the offer letters are sent to applicants, incorporating venue, accommodation and other relevant information.
  • Lead on the verification of qualifications exercise, keeping relevant staff up to date with changes in regulations and qualifications, as applicable.
  • In liaison with central admissions ensure the confirmation letters are sent to accepted students with agreed service standards.

Student records and enquiries:

  • Act as a first point of contact for students in person, on the telephone and by email, and provide information on procedures, regulations, programme and module choice etc.
  • Create and maintain student files, electronically, including email correspondence.
  • Process programme changes, withdrawals and interruptions of study for students both internally and externally, through correspondence with local authorities/sponsoring bodies/placements etc.
  • Monitor and record student attendance.
  • Lead, administer and manage student placements.
  • Create and collate and analyse student evaluation questionnaires.
  • Liaise with appropriate Faculty and Central personnel in verifying and correcting student records including liaison with the Central Finance Office regarding student fee liability, Studentships, Postgraduate Teaching Assistants (PGTA) payments and debt collection.
  • Advise students on Faculty and departmental scholarship information and organise nominations for scholarships.
  • Liaise with Student Support and Wellbeing in seeking appropriate provision for students with disabilities, and in line with a Summary of Reasonable Adjustments (SORA).
  • Manage all activities, such as the placements and year abroad schemes, providing advice and guidance to interested students and co-ordination translation of marks.

Examinations and assessment:

  • Manage, support and administer various exam-related tasks including the processing of final marks, co-ordinating and producing mark sheets for examinations; and undertaking arrangements for the board of examiners.
  • Track, collate and co-ordinate all examination questions and solutions, formatting examination papers, as necessary.
  • Service examination boards including room and catering bookings, agenda setting and minute taking.
  • Collect and accurately record coursework marks during the academic session, monitor student progress during the year and organise re-distribution once marked, in line with a Summary of Reasonable Adjustments (SORA).
  • Create and maintain paperwork for extenuating circumstances meetings, including medical and other documentation as necessary.

Committees, Meetings and Reports:

  • Produce results reports for all designated modules and programmes.
  • Service relevant committees such as the Teaching Committee, Exam Boards and Staff Student Consultative Committee (SSCC) including gathering agenda items, distributing paperwork, contributing to the meeting, taking and circulating minutes and ensuring that agreed actions are carried out by the relevant staff.
  • Keep informed about programme and committee developments, attending and participating in meetings as required.

Administrative Support:

  • Support professional service team requirements in busy periods or when staff are on annual or sick leave.
  • Assist the Institute Manager and others such as Faculty Tutors and Institute Directors, as and when required with correspondence, diary management, enquiries etc.
  • Respond to requests made under the Data Protection Act and Freedom of Information Act relating to designated programmes.
  • Maintain lists of student contacts as appropriate.
  • Make arrangements for workshops, meetings, seminars and other events relating to the designated programmes as and when required.
  • Work closely with Programme Directors to review administrative systems which support learning and teaching activities.
  • Any other duties as are within the scope, spirit and purpose of the job, the title of the post and its grading as requested by the line manager.
