Team Administrator

To provide administration assistance to the Head of MFTS, Senior Managers and Management Assistant to support the smooth running of the management team, enabling them to carry out operations efficiently, safely and cost-effectively.

Responsibilities

  • Co-ordinate ongoing training requirements for AHUK personnel with internal and external training providers
  • Maintain accurate time keeping records for the AHUK engineering and commercial teams
  • Effectively manage and maintain workwear and PPE orders and issue in conjunction with the Health, Safety & Environment Advisor
  • Process purchase orders, requisitions and vendor approval forms
  • Diary management and room bookings for internal and external users
  • Maintain stocks of office supplies and re-order in a timely manner
  • Process invoices in a timely and accurate manner
  • Manage incoming post, correspondence and telephone calls.
  • Process visitor forms for all staff and AHUK visitors to RAF Shawbury.
  • Monitor and manage access for all employees and visitors within the airbus facility
  • Liaise with other departments at all levels within the company
  • Provide any additional administrative support for the MFTS team as required

Skillset

Essential

  • IT skills in word and data processing, email management and digital file storage
  • Knowledge and understanding of office procedures and terminology
  • High standards of spoken and written English, including spelling and punctuation
  • Excellent customer service skills and a friendly and professional manner
  • Good standard of literacy and numeracy for reporting and business correspondence
  • Organisational skills and the ability to plan and prioritise workloads to meet deadlines
  • Focus and attention to detail
  • A 'can-do' attitude and commitment to getting the job done accurately and on time
  • Discretion and confidentiality

Desirable

  • A basic understanding of accounting practices
  • Knowledge of Google Workspace suite of business applications
  • Experience of SAP database software

Other requirements

  • Basic Security Clearance is required for this position due to MoD Security requirements
  • Must have a Full UK driving License and a vehicle available for work purposes
  • Hours of work: up to 37.5 hours per week. Part-time hours will be considered. The role is office-based in Shawbury.
