Job Title : Receptionist (Administration)
Working Pattern: Mon to Fri

Key Accountabilities:
The role consists of, but is not limited to, the following key activities:
- Greet and welcome visitors, clients and employees with a professional, helpful and friendly demeanour
- Answer incoming phone calls via Teams, screen and direct to the appropriate department/individual
- Perform general administrative duties and provide support across the office
- Issue access cards to staff/visitors as required and manage the access control system
- Maintain visitors and staff logs and ensure compliance with security procedures.
- Handle incoming mail and distribute to relevant department
- Preparation & handling of all outgoing post (including recorded or special delivery), maintaining and ordering supplies for the franking machine
- Booking couriers and arranging taxis for staff/board members/visitors as necessary
- Provide basic and accurate information in-person or via phone/email in a timely manner
- Manage meeting room calendars, liaising with staff about changes and guests
- Set up meeting rooms (providing refreshments and general housekeeping) and tidy up
- Manage the archiving process, with third party, including records storage, appropriate record-keeping, document retrieval and document destruction
- Ensure stationery and kitchen/catering supplies are ordered and maintained and replacement thereof, including printing paper supplies
- Emergency response procedures and ad-hoc responsibilities will be discussed in depth on successful selection for the vacant position
Requirements:
- Previous experience as a receptionist in a fast paced, demanding corporate environment (minimum 2 years)
- Professional, neat and smart appearance
- Enthusiastic and conscientious
- Outstanding administration skills
- Proficient in MS Office, particularly Outlook and Excel
- Personable with excellent communication skills
- Ability to multi-task
- Strong attention to detail
- Ability to meet deadlines
- Customer driven - targets work to meet and exceed customer needs
- Working with others - forms effective working relationships
- Flexibility and innovation in approach to work
